UX Case Study: Secure User Profile Management
Designing an intuitive permissions system for enterprise users and administrators
Overview
Our mission was to design a streamlined user interface for managing security profiles — permission sets that define what users can see and do within a system. These profiles would help users interact confidently with the platform while giving administrators precise control over system access and authentication policies.
Problem
Most enterprise systems struggle to strike the right balance between security and usability. Users are overwhelmed with unclear permission settings, while admins lack streamlined tools to manage complex access rules and multi-layer authentication policies.
Key Features Designed
- Inline and Safe Editing with undo options
- User history log and visibility of submitted content (reviews, comments, pictures)
- Secure import/export/save/delete functionality
- Email-based identity verification and IP address restrictions
- Two-Factor Authentication (UI + API) and SSO configuration options
- Admin tools for managing password policies, login rules, and authorization providers
Design Goals
- Clarity: Make complex security settings understandable at a glance
- Transparency: Let users review and understand their account details
- Efficiency: Help admins configure settings quickly and confidently
- Flexibility: Support multiple security configurations for different users
Process
Research: We interviewed both users and IT administrators to uncover usability pain points in current systems.
IA & Prototyping: Permissions were grouped into logical categories, with expandable panels and tooltips to reduce visual overload. We used a tabbed layout to separate user-facing settings from admin controls.
User Testing: We tested with multiple personas. Admins appreciated the ability to edit profiles in-line, while users felt reassured with history logs and confirmation prompts.
Outcomes
- 40% reduction in setup time for administrators
- 25% increase in user trust and satisfaction
- Reduced help desk tickets related to login and profile issues
- Higher adoption of Two-Factor Authentication
